9. When a supplier is unavailable or changes its price
First, a contracted alternative. Check whether TripMade has another supplier we already have a contract with for the same service. Example: for transfers in Rome we work with both Gianesi and Autonoleggio 3000; the prices are essentially the same, so the switch can be made.
Then, an already authorised supplier. Suppliers not in the system may be used only if management has already authorised them in the past.
No known alternative: ask in the dedicated Supplier chat which supplier can be used.
Every new supplier must always be authorised by management before being used.
Price changes compared with the quote
Structural change: the supplier's contract price has changed, so the change applies to all services from that supplier, not just this trip file. It is escalated to the Product Manager and management, whatever the percentage.
Non-structural change, within 5% and justified (common sense): it concerns only this specific service, the contract stays unchanged. It is accepted.
Over 5%: escalate to the Product Manager and/or management.
